Booking a venue in Dakar comes down to three questions: how many people are coming, what technical setup you really need, and how long your guests will sit in traffic. Hotels in Plateau, seaside spaces in the Almadies and the large centres of Diamniadio answer very different needs. Here is how to shortlist quickly.

Start with capacity and layout

Set your headcount and your seating plan before asking for a quote: the same room holds very different numbers.

• Theatre style (rows of chairs): maximum capacity, for a plenary or a general assembly.
• Classroom style (tables and chairs): a third fewer seats, but people can write.
• U shape or boardroom: up to around twenty people, for a committee or a workshop.
• Standing cocktail: product launches and networking evenings.

Allow one and a half to two square metres per person in theatre style, double that in classroom style, and keep a side space for registration, badges and coffee breaks.

The equipment that really matters

• Backup generator or UPS: a power cut during a keynote is expensive.

Diamniadio changed the game for large formats: conference centres seating several hundred delegates, with recent hotels a few minutes away for residential seminars. Allow thirty to forty five minutes from central Dakar on the toll motorway outside rush hour. The regional train helps participants coming from Rufisque, Keur Massar, Pikine or Guédiawaye. If your audience is Dakar based, arrange group transport: it is the main reason people drop out.

Budget, seasons and contract traps

• Small meeting room, ten to twenty people, half a day: around 75 000 to 200 000 FCFA.
